Position Summary: 

The Welfare & Accommodation Manager leads the Welfare and Safeguarding within centre to create a safe and healthy environment for students, Group Leaders and staff. They are also responsible for the efficient management of all facets of accommodation in Centre.  

Key Responsibilities: 

  • Promoting and safeguarding the welfare of students for who you are responsible and with whom you come into contact  

  • Maximising students and group leaders’ satisfaction by ensuring their experience meets or exceeds their expectations 

  • Ensuring the centre operates to the highest standards of relevant Health & Safety, safeguarding, HR practices 

  • Taking appropriate action under guidance from the Centre Manager, Head Office and/or professional bodies where issues of health, safety or welfare arise  

  • Creating the allocation spreadsheet, allocating students by maximizing the occupancy, and keeping the file up to date  

Specific duties include: 

  • To be responsible for the pastoral care and well-being of all the students 

  • To be known and approachable to all students, Group Leaders and staff for matters of Welfare, Health and Safety 

  • To ensure all students' dietary, medical, religious and cultural needs are met 

  • To check original staff documentation  

  • To train, induct and inspire the centre team in Welfare and Safeguarding  

  • To ensure the correct implementation of the Welfare and Health & Safety systems under guidance from the Centre Manager 

  • To be responsible for room allocation and accommodation issues: room inspections, damage, maintenance, cleanliness, lost keys 

  • To ensure all records within Welfare and Accommodation are up to date and accessible 

  • To organise any meal bookings for your centre and keep weekly records  

  • To assist with student arrival and departures at centre as needed and requested by 

           the Centre Manager 

  • To update notice boards in the Centre 

  • To support other managers and carry out other operational/campus duties as assigned or requested by the Centre Manager 

Organisational Compliance: 

The job holder will be expected to operate in accordance with the company’s Code of Conduct, and any local policies and operating procedures relating to academic, welfare and safeguarding matters. 

Employees are required to cooperate fully with all arrangements in place related to Health and Safety which include implementation and compliance with control measures resultant from risk assessments and engagement with, and completion of, any relevant Health and Safety training. 

Education Required: 

  • Educated to Degree level or equivalent/or working towards 

  • Valid First Aid Certificate (Desirable) 

  • Safeguarding Level 1 and 2 (Desirable – if not in possession, Embassy Summer will provide the necessary course upon successful selection)   

Experience Required:

  • Experience in a role involving organisation / logistics / travel 

  • Experience in junior education/learning 

  • Office/administration experience 

  • A high degree of IT competency - Outlook & MS Office (specifically Excel) 

Experience Desired: 

  • Management experience in a summer school environment 

  • Managing multiple departments and teams

  • Excellent communication and interpersonal skills 

  • Excellent organisational and planning skills  

  • Ability to deal and resolve complex problems and issues  

  • Ability to work under pressure, multi-task, prioritise tasks and meet tight deadlines

  • Demonstrates emotional resilience in working with challenging behaviours 

  • Demonstrates a positive attitude to the use of authority and maintaining discipline 

  • Demonstrates an exceptional level of attention to detail 

  • Fluent in written and spoken English 

  • Knowledge of any other languages is considered advantageous 

Eligibility and Safe Recruitment: 

Applicants MUST be eligible to work in the EU. 

Embassy Summer is committed to promoting and safeguarding the welfare of children and young people and expects all staff to share this commitment: 

  • All gaps in CVs must be explained satisfactorily 

  • Proof of identity and (where applicable) qualifications will be required 

  • Clear Criminal Record Check and references will be required prior signature of the contract   

Working Week: 

  • 6 days* out of 7 (1 day off per week) 

  • All management roles are residential 

* Maximum weekly hours will be detailed in the Offer Letter  

Remuneration: 

Our competitive Management weekly pay, inclusive of accommodation, will be based on the size of the centre and experience.  We will discuss this with you at the time of your interview. 

Accommodation is provided from the night before your first working day until the night of your last working day. 

Embassy Summer does not cover costs for flight tickets and airport transfer to/from the accommodation.
